PhD Solutions provides plumbing, heating and drainage services in Guildford and across Surrey. We are the "data controller" for the personal information described in this policy, which means we decide how and why it is used.

What information we collect
We only collect what we need to respond to you and do the job.
- Through our quote form: your name, phone number, postcode, the service you need, and any description you choose to add.
- If you phone or email us: your contact details and anything you tell us about the work.
- If you become a customer: your address, details of the work carried out, and payment records.
Please don't include sensitive information (such as health details) in the quote form. We don't need it to give you a price.

We do not sell your information, and we do not use it for marketing to you unless you ask us to.
Who we share it with
We only share your information with trusted providers who help us run the business, and only as far as needed:
- Formspree receives and forwards the details you enter into our quote form to us by email. Formspree is based in the United States; its handling of your data is covered by its own privacy policy and recognised safeguards for international transfers.
- Our website host serves this website to you and may log technical information such as your IP address for security and reliability.
- Our email provider stores the emails we send and receive.
- Our accountant or bookkeeper, where needed for invoices and tax records.
We may also disclose information if the law requires us to, or to protect our legal rights.
Cookies and tracking
This website does not use advertising or analytics cookies, and we do not track you around the web. To display our fonts, your browser loads them from Google Fonts, which means your IP address is sent to Google when the page loads. If we add analytics or other cookies in future, we will update this policy and ask for your consent where the law requires it.
How long we keep it
We keep your details only for as long as we need them.
- Quote enquiries: we use your contact details only to get back to you. Once we have been in touch and the enquiry is finished, we delete your details from our email and from our form service, normally within 30 days.
- If you become a customer: we keep only the records we are legally required to hold, such as invoices and payment records, for up to 6 years for tax purposes, and the details of any work covered by a guarantee for as long as that guarantee applies.
How we keep it safe
This website uses an encrypted (HTTPS) connection. We limit access to your information to people who need it, and we only use reputable providers to handle it.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the information we hold about you;
- ask us to correct anything that is wrong or incomplete;
- ask us to delete your information, where we no longer need it;
- ask us to restrict or stop using your information in certain circumstances;
- object to us using your information based on our legitimate interests; and
- ask for your information in a portable format.
